Contractor License Verification Checklist

A license number alone is not enough. Use a repeatable checklist to compare the contractor, source record, proposed work, and timing before making a hiring or onboarding decision.

1. Match the contractor’s identity

Compare the license number, legal or business name, location, and available contact details with the proposal or onboarding submission. Similar names are not proof of a match.

2. Confirm authority, status, and scope

Verify that the record comes from the relevant licensing authority, is acceptable for the period of work, and covers the work being proposed. Read status together with expiration and classification or license type.

3. Review supporting details and freshness

Check bond, workers’ compensation, insurance, disclosure, and contact fields when the source provides them. Use source and record timestamps to decide whether a fresh official check is required.

4. Escalate exceptions

Send no matches, multiple matches, identity conflicts, adverse statuses, missing critical fields, and high-risk decisions to a qualified reviewer. Keep the source result and decision history for auditability.
